Cash desks

Purpose

A cash desk is a collection point of the company: the till of a sales outlet, a safe, a transit account. Each cash desk carries a code, a name, the list of payment methods it accepts, and a status showing whether it is in service.

The cash desks declared here then feed the treasury screens: this is the cash desk you select when collecting a customer payment or settling a supplier.

Two screens, the same records

This module belongs to Technical data, where cash desks are declared. The Financial management chapter also has a Caisses screen, which uses the same records from a treasury point of view.

Who can access this module?

The module is visible to accounts holding the Technical data right, and to every account flagged as an administrator.

Access

  • Menu: Technical data → Cash desks
  • Address: /caisses
  • Screen title: Caisses

The cash desk list

The top bar holds ☰ side menu, 🏠 home, the Filtrer… field, the name of the signed-in account, the language selector and the account menu. The filter runs half a second after the last keystroke.

ChéquesOui / Non badge — the desk accepts cheques.

Carte bancaireOui / Non badge — the desk accepts card payments.

Clicking a row highlights it; clicking again clears the selection.

Read the wording of the status badge, not its colour

The colours of the Etat column are swapped in this version: an Active cash desk appears with a grey badge, and a Désactive one with a green badge. Trust the word, not the colour.

No deletion, no sorting, no pagination

A cash desk cannot be deleted: the Action column only offers editing. The list cannot be sorted and is limited to the first 50 cash desks in the workspace — beyond that, use the filter.

Creating a cash desk

  1. Click the ➕ button at the top left of the table. The Ajouter une nouvelle caisse window opens.

  2. Fill in the record:

    FieldRequiredDescription
Code✔The short code of the cash desk, unique within the workspace.
Désignation✔The name shown on the payment screens.
En numéraire—Checkbox: the desk accepts cash.
Cartes bancaires—Checkbox: the desk accepts card payments.
    Chèques—Checkbox: the desk accepts cheques.
Etat de la caisse✔Activée or Desactivée.
  3. Click Enregistrer.

The green message « Caisse créée avec succès » confirms the save, the window closes and the list reloads.

The name is what users will see

The collection and settlement screens show the name, not the code. Choose a label that clearly tells the cash desks apart — Caisse agence Rabat rather than Caisse 2.

The status is required from the start

The Etat de la caisse dropdown must be filled in, even for a cash desk you are creating in service. Its placeholder wrongly reads Interface: it is indeed the status that is being asked for.

Editing a cash desk

  1. On the relevant row, click the green ✏️ Edit icon.
  2. The Modifier une caisse window opens with every field already filled in.
  3. Adjust what needs adjusting, then click Enregistrer.

The message « Caisse modifiée avec succès » confirms the save.

Every field remains editable, including the Code.

Enabling or disabling a cash desk

The status is changed from the record, through the Etat de la caisse dropdown:

  • Activée — the cash desk is in service;
  • Desactivée — the cash desk is out of service.

Since deletion does not exist, disabling is the only way to take a cash desk out of everyday use.

A disabled cash desk is still offered on the payment screens

In this version, the collection and settlement screens show all the cash desks in the workspace, regardless of their status. A disabled cash desk therefore remains selectable.

The status is management information, not a lock: tell the people concerned about the change, or rename the desk — Caisse Rabat (fermée) — so that they do not get it wrong.

The accepted payment methods

The three boxes En numéraire, Cartes bancaires and Chèques describe what the cash desk accepts.

They do not filter anything for now

As with the status, the collection and settlement screens ignore these boxes: every cash desk is offered, whatever the payment method of the operation. These boxes document the cash desk; they prevent no entry.

Known limitations in this version

  • The status badge colours are swapped: Active in grey, Désactive in green.
  • A cash desk cannot be deleted.
  • The status and the accepted payment methods filter no dropdown on the payment screens.
  • The list is limited to the first 50 cash desks, with no pagination, and cannot be sorted. The dropdowns on the payment screens are subject to the same limit.
  • The Enregistrer button stays active even when required fields are missing: the error only appears after clicking.
  • The placeholder of the Etat de la caisse dropdown reads Interface instead of Etat.
