Profiles

Purpose

A profile is a named set of rights. It describes what a person is allowed to see and do in NervaGest: which chapters appear in their menu, and which operations are open to them inside each one.

Rights are never granted account by account: you define a profile here, then assign it to the relevant accounts from Users. Changing a profile therefore changes the rights of every account that carries it, all at once.

Who can access this module?

The module is visible to accounts holding the Technical data right, and to every account flagged as an administrator.

Access

  • Menu: Technical data → Profiles
  • Address: /profiles
  • Screen title: Profiles

The profile list

The top bar is the same as on the other screens: ☰ side menu, 🏠 home, Filtrer… field, name of the signed-in account, language selector and account menu. The filter runs half a second after the last keystroke.

The table shows the workspace profiles with seven summary columns:

ColumnContents
NomThe profile name, as it will appear on the user record.
AdministrateurOui / Non badge — actually reflects the Technical data right.
Gestion commercialeOui / Non badge.
Resources humainesOui / Non badge — corresponds to the Payroll management right.
Gestion devisOui / Non badge — corresponds to Quotations → Manage.
FacturationOui / Non badge — corresponds to Invoicing and payments → Manage.
PaiementsOui / Non badge — corresponds to Invoicing and payments → View.
ActionThe ✏️ Edit and 🗑️ Delete buttons.

Green badges mean the right is granted, grey ones that it is denied. Clicking a row highlights it; clicking again clears the selection.

The list shows only 7 rights out of 27

These columns are a summary. To see all the rights of a profile, open it with ✏️ Edit: that is the only complete view.

No pagination

This screen shows the first 50 profiles in the workspace, with no pagination controls. Beyond that, use the filter to find a profile.

The profile window

Whether you create or edit a profile, you get the same window. It has three fields at the top, then the rights grouped into collapsible sections.

The three header fields

FieldDescription
Nom *The profile name. Required, and cannot be changed once the profile is created.
Premier interface *The profile's entry chapter: Technical data, Sales management, Payroll management, Financial management or Production management. Required.
Acces clientOpens the area reserved for the end customer (their invoices, their appointments).
About "Premier interface"

This choice is saved with the profile. In the current web version, signing in always redirects to the home page, whatever the setting says.

Accessible interfaces

This first section controls the chapters visible in the side menu and the sections shown on the home page. It is the most structural setting: unticked, a box closes the whole chapter, whatever the fine-grained rights defined further down.

BoxOpens
Données techniquesUsers, Profiles, Sites, reference data, configuration.
Gestion commercialeArticles, business partners, quotations, orders.
Gestion paieEmployees and staff records.
Gestion financièrePayables, receivables, invoices, collections, cash desks.
Gestion de productionBills of materials, machines, routings, manufacturing orders.
Gestion StockStock movements and transfers.
Gestion HotelsProperties, rooms, rates, housekeeping and maintenance.

Fine-grained rights

The following sections state what is allowed inside a chapter that is already open.

Gestion financièreGestion financièreAn additional right on the financial chapter.
Gestion de stockArticles · Mouvements de stock · TransfertsStock operations — see the warning below.
The "Gestion de stock" section does not work as advertised

In the current version, the three boxes in this section are wired to the same settings as the Rapports section:

  • ticking Articles also ticks Rapports → Commerciaux;
  • ticking Mouvements de stock also ticks Rapports → Financiers;
  • Transferts acts on a third right that appears nowhere else.

The stock rights themselves are therefore never saved. Until this is fixed: do not use this section, and grant stock access through the Gestion Stock box in the Accessible interfaces section.

Two "Gestion financière" boxes

One is in Accessible interfaces — it opens the chapter — while the other forms its own section at the bottom of the window. They really are two separate settings: to open the financial chapter, the first one is what counts.

Creating a profile

  1. Click the ➕ button at the top left of the table. The Ajouter nouveau profile window opens.
  2. Enter the profile Nom and choose its Premier interface.
  3. Tick Acces client if the profile is meant for an end customer.
  4. Expand Accessible interfaces and tick the chapters to open.
  5. Expand the fine-grained sections and tick what is allowed.
  6. Click Enregistrer at the bottom of the window.

The window closes and the list reloads with the new profile.

Naming a profile

The name appears as-is in the Profile dropdown of the user record. Prefer an explicit role name — Commercial, Comptable, Magasinier — over a person's name: a profile is meant to be shared by several accounts.

Start from the most restricted

Tick only what is strictly needed, then add more on request. It is safer, and easier to explain, than opening everything up and taking rights away afterwards.

Editing a profile

  1. On the relevant row, click the green ✏️ Edit icon.
  2. The Modifier profile window opens with every box already set. The Nom field is read-only.
  3. Adjust the boxes, then click Enregistrer.
The change applies to every account concerned

A profile is shared. Before removing a right, check in Users which people carry that profile.

Because rights are computed when the session opens, people who are already signed in keep their old rights until their next sign-in. For an urgent restriction, disable the account concerned from the Etat column of the user list.

Deleting a profile

  1. On the relevant row, click the red 🗑️ Delete icon.
  2. The confirmation prompt « Êtes-vous sûr de vouloir supprimer ce profile ? » appears.
  3. Choose Annuler to back out, or Supprimer to confirm.
Check first that it is no longer in use

The profile is referenced on the record of every account that carries it. Reassign those accounts to another profile before deleting, otherwise their rights become unpredictable at the next sign-in.

How rights are applied

  1. The person signs in with their username, workspace and password.
  2. The server returns the rights from the profile attached to their account.
  3. The application builds the side menu and the home page, keeping only the chapters that are allowed.
Administrator status overrides profiles

An account flagged as an administrator receives all rights and all chapters, whatever its profile. That status is not set from this screen.

The detail of how rights are computed is described in Signing in, section Modules opened according to your rights.

Known limitations in this version

  • The Gestion de stock section changes the rights of the Rapports section instead of the stock rights (see the warning above).
  • The Enregistrer button stays active even when required fields are missing: the error only appears after clicking.
  • The sort arrows in the column headers are decorative; the list is sorted by profile name.
  • The list is limited to the first 50 profiles, with no pagination.
  • The Administrateur column actually shows the Technical data right; real administrator status is carried by the account, not by the profile.
