Vehicles

Purpose

The Vehicles module maintains the company's vehicle fleet. Each record describes a vehicle — its category, make and registration plate — the person in charge of it, and the three due dates that drive its follow-up: the end of the insurance policy, the roadworthiness test and the servicing interval.

It is a richer reference list than the others in this chapter: beyond identification, it tells you who drives what and when a due date is approaching.

Who can access this module?

The module is visible to accounts holding the Technical data right, and to every account flagged as an administrator.

Access

  • Menu: Technical data → Vehicles
  • Address: /vehicules
  • Screen title: Véhicules

The vehicle list

The top bar holds ☰ side menu, 🏠 home, the Filtrer… field, the name of the signed-in account, the language selector and the account menu. The filter runs half a second after the last keystroke and returns to the first page.

ColumnContents
ImmatriculationThe vehicle's registration plate.
CatégorieThe vehicle type, spelled out.
MarqueThe make, typed freely.
ModèleThe model, typed freely.
UsageWhat the vehicle is used for, spelled out.
Action✏️ Edit and 🗑️ Delete.

Clicking a row highlights it; clicking again clears the selection.

No sorting, no pagination

The columns cannot be sorted: the list follows the order in which records were created. It is also limited to the first 50 vehicles in the workspace, with no pagination controls — beyond that, use the filter.

The Marque and Modèle columns are not reference lists

They are typed in by hand, vehicle by vehicle. A vehicle's make has nothing to do with the Brands module, which covers the article catalogue. Settle on your spelling once and for all — Renault and RENAULT will create two distinct labels in the list.

Creating a vehicle

  1. Click the ➕ button at the top left of the table. The Ajouter un nouveau véhicule window opens.

  2. Fill in the record:

    FieldRequiredDescription
Catégorie—The vehicle type, chosen from the dropdown.
Déstination—What the vehicle is assigned to.
Conducteur—The person in charge of it, chosen among the workspace users.
    Marque✔The vehicle make.
    Modèle✔The model.
    Immatriculation✔The registration plate.
    Kilométrage✔The odometer reading.
Date fin assurance✔The end date of the insurance policy.
Date visite technique✔The date of the next roadworthiness test.
Fréquence maintenance(km)✔The number of kilometres between two services.
  3. Click Soumettre.

The green message « Véhicule créé avec succès » confirms the save, the window closes and the list reloads.

The Soumettre button stays greyed out?

It only becomes active once the seven required fields are filled in, both dates included. The three dropdowns at the top — category, destination, driver — do not count towards it.

Entering the two dates

The Date fin assurance and Date visite technique fields are not typed in: click the field to open a calendar, pick the date, then confirm with the calendar button. The chosen date is then shown as dd/mm/yyyy.

Fill in the three dropdowns anyway

Category, destination and driver are optional for saving, but a vehicle created without a category or a use shows empty cells in the list, and without a driver nobody knows who is responsible for it. Make a habit of filling them in.

The vehicle categories

CategoryShown in the list
Berline (saloon)✔
Utilitaire (van)✔
SUV 4x4✔
Fourgonette (small van)✔
Camion (truck)✖
Triporteur (three-wheeler)✔
Moteur (engine unit)✔
Semi remorque (semi-trailer)✔
Remorque (trailer)✔
The "Camion" category is never displayed

Camion is offered when entering data, but the vehicle list cannot display it: the Catégorie column stays empty for those vehicles. The value is properly saved — it reappears correctly when the record is opened with ✏️ Edit — but it is invisible in the table.

Until this is fixed, if the Category cell of a row is empty, open the record to find out the real category.

The destinations

The Déstination field of the entry window feeds the Usage column of the list.

DestinationUse
Voiture de serviceShared vehicle, available for business travel.
Voiture de fonctionVehicle assigned to one person.
Voiture de transport du personnelVehicle used to transport staff.
Voiture de distributionVehicle used for deliveries.

Editing a vehicle

  1. On the relevant row, click the green ✏️ Edit icon.
  2. The Modifier un véhicule window opens with every field already filled in.
  3. Adjust what needs adjusting, then click Soumettre.

The message « Véhicule modifié avec succès » confirms the save.

Keeping the odometer up to date

The Kilométrage field is a fixed value, typed in by hand: it does not update by itself. Read it periodically — at each service, for example — so that the Fréquence maintenance(km) keeps its meaning.

Deleting a vehicle

  1. On the relevant row, click the red 🗑️ Delete icon.
  2. The confirmation prompt « Êtes-vous sûr de vouloir supprimer ce véhicule ? » appears.
  3. Choose Annuler to back out, or Supprimer to confirm.

The list reloads once the deletion has gone through.

A refused deletion stays silent

If the server refuses the deletion, no message is shown and the row stays in the table. Always check afterwards that the vehicle has indeed disappeared from the list.

Following the due dates

The module records three due dates per vehicle, but sends no alerts: it is up to you to go and check them.

Due dateWhere to read it
End of insuranceOn the vehicle record, Date fin assurance field.
Roadworthiness testOn the vehicle record, Date visite technique field.
ServicingThe gap between the recorded Kilométrage and the Fréquence maintenance(km).
Set yourself a monthly review

Since the dates do not appear in the table, plan a regular review of the records — or keep a parallel reminder in the Calendar.

Messages and troubleshooting

The Soumettre button stays greyed out—One of the seven required fields is empty, dates included.
The Catégorie column is empty—The vehicle is probably a Camion: open the record to check.

Known limitations in this version

  • The Camion category is not displayed in the Catégorie column of the list.
  • The duplicate message reads « Utilisateur en double » instead of « Véhicule en double ».
  • The list is limited to the first 50 vehicles, with no pagination, and cannot be sorted.
  • The Conducteur dropdown only offers the first 50 users of the workspace.
  • No alert is raised as the insurance, roadworthiness or servicing due dates approach.
  • The insurance, roadworthiness and driver details do not appear in the list: each record has to be opened to see them.
  • A failed deletion produces no message.
