Articles

Purpose

The Articles module holds the company catalogue. Each record describes a reference: its identity, its classification, its unit, its sales, rental and purchase prices, and whether it is tracked in stock.

It is the most heavily used reference data in the application: articles feed quotations, orders, delivery notes, invoices and stock movements.

Who can access this module?

The module is visible to accounts holding the Sales management or Stock management right. Creating and editing additionally depend on the Articles → Edition sub-right, set in Profiles.

The article list

The top bar contains ☰ side menu, 🏠 home, the Filtrer… field, the name of the signed-in account, the language selector and the account menu. The filter fires half a second after the last keystroke and returns to the first page.

Column	Content
Type	An icon representing the article type.
Référence	The article code.
Désignation	Its name.
Famille	Its classification family.
Marque	Its brand.
Modèle	Its model.
Stock	The quantity in stock.
Reserve	The quantity already committed on orders.
Action	✏️ Editer, 📄 Inventaire and 🗑️ Supprimer.

The list is sorted by designation and shows 50 articles per page.

Pagination

The controls are available above and below the table: ⏮ first page, ◀ previous, the page numbers (five at most, current page centred), ▶ next, ⏭ last page.

Stock and Reserve

Stock is the quantity physically present; Reserve is the share already promised on orders in progress. The quantity genuinely available for sale is the difference between the two.

Creating an article

1. Click the ➕ button at the top left of the table. The Ajouter un article window opens.
2. Fill in the Référence and the Désignation — the only two required fields.
3. Complete the collapsible sections as needed: Paramètres, Vente, Location, Achat.
4. Click Enregistrer.

The green message « Article créé avec succès » confirms the save.

The Enregistrer button stays greyed out?

It only becomes active once the Référence and the Désignation are filled in. Everything else is optional.

The "Paramètres" section

Field	Description
Type d'article	Vente, Location, Consommable, Matière première, Composant, Semi fini, Produit fini or Service.
Famille	The classification family, drawn from Article families.
Sous famille	The sub-family, loaded automatically once the family is chosen.
Marque	The brand, drawn from Brands.
Unité	Unité, Metre, Metre 2, Metre 3, Kg, Litre, Jour or Heure.
Géré en stock	Tick box: the article is tracked by quantity.

Choose the family before the sub-family

The Sous famille list only fills in once a Famille has been chosen. If you then change family, the list is reloaded: remember to select the sub-family again.

The "Vente" section

Field	Description
Prix U.HT	The unit price excluding tax.
Prix gros HT	The wholesale price excluding tax.
TVA	The VAT rate applicable to the article.

The "Location" section

Three rates for articles offered for rental: Journalier, Mensuel and Annuel.

The "Achat" section

Field	Description
Prix U.HT	The unit purchase price excluding tax.
Dernier prix	The last purchase price recorded.
TVA récuperable	Tick box: the purchase VAT is recoverable.

No check on amounts

The price and VAT fields accept free text: neither format nor consistency is checked on entry. Read the amounts back before saving.

Multilingual designations

To the right of the Désignation field, the 🌐 button opens the Traduction de désignation window. It offers one field per language declared in Application configuration, section The languages supported by articles.

Enter the designation in each language you want, then Enregistrer. A badge then appears next to the 🌐 button, showing the number of translations saved.

These designations are picked up when editing a quotation, an invoice or a credit note in the matching language.

No language offered?

The window stays empty as long as no language has been declared in the application configuration. Start by adding them there.

Editing an article

1. On the row concerned, click the green ✏️ Editer icon.
2. The window opens with the current values, sections included.
3. Adjust, then click Enregistrer.

The message « Article modifié avec succès » confirms the save.

Changing a price does not update existing documents

Quotations, orders and invoices already drawn up keep the price in force when they were created. The new price will apply to subsequent documents.

Entering a stock count

The blue 📄 Inventaire icon opens the Saisie inventaire window for the article on that row.

1. The Référence article and the Désignation are shown, read-only.
2. Choose the Site concerned.
3. The Quantité actuelle known to the application is displayed.
4. Enter the Quantité recensée, the one you actually counted.
5. Click Enregistrer, or Fermer to give up.

The gap between the two quantities generates the adjustment movement.

Count site by site

Entry covers one site at a time. For an article present in several warehouses, repeat the operation, changing site each time.

Deleting an article

1. On the row concerned, click the red 🗑️ Supprimer icon.
2. The confirmation request « Êtes-vous sûr de vouloir supprimer cet article ? » appears.
3. Choose Annuler to give up, or Supprimer to confirm.

A refused deletion stays silent

If the article appears on documents or carries stock, the server may refuse the deletion. In that case, no message is displayed and the row stays in the table. Always check afterwards that the article has indeed disappeared from the list.

Rental articles have no icon

The Location type is offered on entry, but the Type column of the list does not know how to display it: the cell stays empty. The value is properly saved and reappears when the record is opened. If a Type cell is empty, open the record to find out the real type.

Messages and troubleshooting

Error while saving	Erreur in the window header	Close, reload the list and try again; contact support if the problem persists.
The Enregistrer button stays greyed out	—	The reference or the designation is empty.
The article did not disappear after deletion	No message	It is probably used on documents or carries stock.
The Type column is empty	—	The article is probably of type Location.
The session has expired	Automatic return to the sign-in screen	Sign in again and re-enter the data.

Known limitations in this version

• The Location type is not displayed in the Type column of the list.
• The sort arrows in the headers are decorative: the list is always sorted by designation.
• No format check on prices and VAT rates.
• A failed deletion produces no message.
• The Modèle column appears in the list but cannot be entered from the article record.
