Customers
Purpose
The Customers module holds the file of the companies and people you sell to. Beyond the contact details, the record carries the commercial policy applied to the customer: discount, wholesale pricing, credit limit and payment terms.
It is also the entry point to the cross-cutting views of a customer: their status, their purchase history, their contacts and their projects.
The module is visible to accounts holding the Sales management right. Two separate sub-rights apply, set in Profiles: Clients → Consultation allows the records to be viewed, Clients → Gestion allows them to be created and edited.

Creating a customer
- Click the ➕ button at the top left of the table. The Ajouter nouveau client window opens.
- Fill in the Raison sociale — the only required field.
- Complete the header and the collapsible sections as needed.
- Click Enregistrer.
The green message « Client créé avec succès » confirms the save.
The record header
| Field | Description |
|---|---|
| Raison sociale | The customer's name. Required. |
| Secteur | Their sector, drawn from Sectors. |
| Classification | Their stage in the sales cycle (see below). |
| Commercial | The salesperson in charge, chosen among the users. -- Aucun -- is possible. |
The classifications
The Classification describes where the commercial relationship stands. The values run from the coldest contact to the most committed customer:
| Classification | Meaning |
|---|---|
| Suspect | Contact identified, interest not verified. |
| Prospect froid | Weak or distant interest. |
| Prospect tièd | Confirmed interest, with no timeframe. |
| Prospect chaud | Confirmed interest with a purchase project. |
| Nouveau client | First order placed. |
| Client récurrent | Buys regularly. |
| Client attaché à la marque | Loyal, little affected by the competition. |
| Ambassadeur | Actively recommends the company. |
| Client perdu | No longer buys. |
It is what tells a prospecting file apart from a portfolio of active customers. Updated as business goes along, it makes the list usable for follow-ups.
The "Coordonnées" section
Téléphone 1, Téléphone 2, Fax and Email.
The "Facturation et politique de prix" section
This is the commercial heart of the record.
| Field | Description |
|---|---|
| Remise client | The discount usually granted. |
| Assujeti à la TVA | Tick box: the customer is liable to VAT. |
| Document d'exonération | The reference of the document supporting the exemption, where applicable. |
| Prix de gros | Tick box: the customer gets the wholesale price from the article record, rather than the unit price. |
| Limite de crédit | The outstanding-amount ceiling granted. |
| Conditions de paiements | The agreed payment term (see below). |
The section also carries the billing address: number, street, postcode, town and country.
The payment terms
| Term | Meaning |
|---|---|
| À la commande | Payment when the order is placed. |
| A la livraison | Payment when the goods are handed over. |
| Avance + à la livraison | Deposit at order time, balance on delivery. |
| À 30 / 45 / 60 / 90 jours nets | Payment at term, counted from the invoice. |
| À 30 / 45 / 60 / 90 jours fin du mois | Term pushed back to the end of the month concerned. |
| Negociées | Terms agreed case by case. |
| Personalisées | Terms specific to the customer. |
The "Livraison" section
A separate delivery address — number, street, postcode, town, country — for customers delivered somewhere other than their billing address.
The "Contact" section
The main contact person: Nom complet, Fonction and their contact details. It is this name that appears in the Contact column of the list.
The record carries only one main contact. For the others, use the 👥 Contacts button on the row, which manages a full list of contact persons.
Editing a customer
- On the row concerned, click the green ✏️ Editer icon.
- The Modifier un client window opens with the current values.
- Adjust, then click Enregistrer.
The message « Client modifié avec succès » confirms the save.
Discount, wholesale pricing and payment terms apply to documents created afterwards. Quotations and orders in progress keep the terms in force when they were drawn up.
Deleting a customer
- On the row concerned, click the red 🗑️ Supprimer icon.
- The confirmation request « Êtes-vous sûr de vouloir supprimer ce client ? » appears.
- Choose Annuler to give up, or Supprimer to confirm.
If the customer appears on quotations, orders or invoices, the server may refuse the deletion. In that case, no message is displayed and the row stays in the table. Always check afterwards that the customer has indeed disappeared from the list.
For a customer who no longer buys, prefer the Client perdu classification over deletion: the history stays available.
The views attached to a customer
Customer status
The 📊 État button opens the Etat du client screen: the company profile — including its sector —, outstanding amounts and balances. This is the view to open before granting a new order to a customer whose outstanding amount is approaching their credit limit.
Purchase history
The 🧾 Historique achats button lists what the customer has bought. Useful for preparing a follow-up or checking a price already charged.
Contacts
The 👥 Contacts button manages the list of the customer's contact persons, beyond the main contact on the record.
Projects
The 📁 Projets button opens the tracking of the customer's projects: progress, revenue delivered, margin, collections and payment schedule.
Messages and troubleshooting
| Situation | Message | What to do |
|---|---|---|
| Customer saved | Client créé avec succès / Client modifié avec succès | — |
| The company name already exists | Client en double, on a red background in the header | Check whether the record already exists before creating a second one. |
| Error while saving | Erreur in the window header | Close, reload the list and try again; contact support if the problem persists. |
| The Enregistrer button stays greyed out | — | The company name is empty. |
| The customer did not disappear after deletion | No message | They are probably used on documents. |
| The sector you want is not offered | — | Create it first in Sectors. |
| The session has expired | Automatic return to the sign-in screen | Sign in again and re-enter the data. |
Known limitations in this version
- The sort arrows in the headers are decorative.
- A failed deletion produces no message.
- No format check on emails, phone numbers, the discount or the credit limit.
- The credit limit is management information: it does not prevent an order that would exceed it from being entered.
