Price enquiries

Purpose

A price enquiry records a customer's price request: what they want, in what quantity, and at what price you are prepared to offer it.

It is the earliest document of the sales cycle. It serves to keep a record of the requests received and of the prices worked out, including those that will never turn into business.

(enquiry) (offer) (commitment) (payment)
An enquiry commits you to nothing

Unlike a quotation, it is neither sent to the customer as a firm offer, nor automatically convertible into an order. It is an internal working document, useful for preparing a quotation and for measuring the volume of requests received.

Who can access this module?

The module is visible to accounts holding the Sales management right.

Access

  • Menu: Sales management → Price enquiries
  • Address: /consultation
  • Screen title: Consultations

The enquiry list

The top bar contains ☰ side menu, 🏠 home, the Filtrer… field, the name of the signed-in account, the language selector and the account menu.

ColumnContent
RéférenceThe enquiry number.
DateThe date of the request, in dd/mm/yyyy format.
ClientThe customer who made the request.
CréateurThe user who entered the enquiry.
CommercialThe salesperson in charge of the customer.
Valeur HTThe total excluding tax that was priced.
Action✏️ Editer and 🗑️ Supprimer.

The list shows 50 enquiries per page, with the pagination controls below the table.

Créateur and Commercial are not the same thing

The Créateur is the person who entered the enquiry into the application. The Commercial is the one who follows the customer, as set on their record in Customers. The two often coincide, but not always — a sales assistant may enter data on a salesperson's behalf.

Creating an enquiry

Click the ➕ button at the top left of the table: the Nouvelle consultation screen opens full page.

The header

FieldDescription
Numéro de consultationThe document reference.
DateThe date of the request, chosen from a calendar. Filled in with today's date by default.
ClientThe requesting customer. Required.
Assujeti à la TVATick box, ticked by default.
Prix de grosTick box: apply the catalogue wholesale price rather than the unit price.
Both boxes are set from the customer

Choosing the customer automatically sets Assujeti à la TVA and Prix de gros according to their record. You can correct them for this enquiry, without that changing the customer record.

The lines

ColumnEntry
RéférenceThe article reference.
DésignationTaken from the article record. Read-only.
QuantitéThe quantity requested.
Prix unitaire HTThe price offered.
Total HTCalculated. Read-only.
ActionsDeletion of the row.

The Ajouter une ligne button adds an empty row below the table.

Enter the Référence then leave the field: the designation and the price fill in from the article record. An unknown reference displays "Article non trouvé".

The price offered stays editable

The unit price is pre-filled from the catalogue but can be changed freely: that is the whole point of an enquiry — pricing one particular request.

Totals and buttons

The Totaux block, on the right, shows the enquiry total excluding tax.

ButtonEffect
Enregistrer la consultationSaves and stays on the screen.
Enregistrer la consultation et sortirSaves and returns to the list.
FermerLeaves the screen, after confirmation, without saving.
No message confirms the save

Unlike the other documents in the application, this screen displays neither a success message nor an error message after a save. To check that the enquiry has indeed been saved, use Enregistrer la consultation et sortir and check that it is present in the list.

Editing an enquiry

On the row concerned, click the green ✏️ Editer icon: the Modifier consultation screen, followed by the number, opens with the saved values.

The lines are rewritten on every save

When an existing enquiry is saved, the application deletes all the lines then recreates them from the screen. This has no consequence in normal use, but if the operation is interrupted — network drop, expired session — the enquiry may end up with no lines. Check its contents after a save that went wrong.

Printing an enquiry

From the editing screen, printing uses the quotation print template: the enquiry therefore comes out with a quotation's layout, with the company header and logo defined in Company details.

Deleting an enquiry

  1. On the row concerned, click the red 🗑️ Supprimer icon.
  2. The confirmation request « Êtes-vous sûr de vouloir supprimer cette consultation ? » appears.
  3. Choose Annuler to give up, or Supprimer to confirm.
A refused deletion stays silent

If the server refuses the deletion, no message is displayed and the row stays in the table. Always check afterwards that the enquiry has indeed disappeared from the list.

From enquiry to quotation

There is no automatic transfer from an enquiry to a quotation in this version. To turn a priced request into a firm offer:

  1. Open the enquiry and note the references, quantities and prices agreed.
  2. Create a quotation in Quotations for the same customer.
  3. Re-enter the lines.
Keep the enquiry

Do not delete the enquiry once the quotation has been drawn up: it documents the original request and the prices studied, which is useful if the customer comes back to negotiate.

Known limitations in this version

  • No message confirms or denies the save.
  • No transfer to a quotation is offered: re-entry is manual.
  • Printing reuses the quotation print template; there is no template of its own for enquiries.
  • The observation, payment terms, validity, delivery and transport fields exist in the document but cannot be entered on screen: they keep their default value.
  • The validity period is always saved in days, the unit not being configurable here.
  • The sort arrows in the headers are decorative.
