Cash desks

Purpose

This screen presents the cash position of each cash desk: how much it holds in cheques, in cash and in card collections, and how far back its last Z de caisse (cash-up) goes.

It is the view to open to answer "how much is in the till?" before a bank deposit or an end-of-day check.

Two screens for the same cash desks

Cash desks are declared in Technical data → Cash desks: code, name, means of payment accepted, state. This screen shows them from the angle of the balances.

Both carry the same name in the application and handle the same records.

Who can access this module?

The module is visible to accounts holding the Financial management right.

Access

  • Menu: Financial management → Cash desks
  • Address: /caisses-finances
  • Screen title: Caisses

The cash desk list

The top bar contains ☰ side menu, 🏠 home, the Filtrer… field, the name of the signed-in account, the language selector and the account menu.

The screen shows the first 50 cash desks, with no pagination controls.

The three balances

The balances are broken down by means of payment, which matches the way the funds are physically held:

BalanceWhat it represents
Solde chéquesCheques received and not yet paid into the bank.
Solde numéraireThe cash in the till.
Solde CBCard collections, awaiting transfer from the payment provider.
Reconciling the balances with reality

The cash balance is the only one that can be checked directly: it must match the physical count of the till. A discrepancy signals a collection that was not entered, a withdrawal that was not recorded, or a till error.

The other two balances are reconciled against paying-in slips and the card provider's statements.

The balances are fed by collections

They result from the settlements recorded in Receivables and Payables, with the cash desk named at settlement time. A collection entered with no cash desk feeds no balance.

The "Etat" column

This column does not show the state of the cash desk

It uses the vocabulary of sales documents — En instance, Confirmée, Facturée, Facture d'avoir — and not that of cash desks. In practice:

  • an active cash desk is displayed as "Facture d'avoir";
  • a deactivated cash desk leaves the cell empty.

Do not rely on this column. To find out a cash desk's real state, open its record with ✏️ Editer and read the Etat de la caisse field, or look at Technical data → Cash desks, whose Etat column does correctly display Active or Désactive.

The cash-up

The Z de caisse column shows the date of the last cash-up recorded.

Only the date is displayed

The screen shows neither the amount of the cash-up nor its detail, and does not allow one to be triggered. Only the date comes through here. An empty column means no cash-up has been recorded for that cash desk.

Creating or editing a cash desk

The ➕ button at the top left and the ✏️ Editer icon on a row open the same window as in Technical data: code, name, means of payment accepted and state of the cash desk.

The detail of the fields, the messages and the limitations of that window is described in Technical data → Cash desks, section Creating a cash desk.

Balances are not corrected here

The window has no balance field: the amounts shown in the list result from the movements recorded. A balance error is corrected by going back over the faulty collection, not by editing the cash desk.

Known limitations in this version

  • The Etat column displays sales-document labels: an active cash desk appears there as Facture d'avoir, a deactivated one leaves the cell empty.
  • The Z de caisse is limited to a date: no amount, no detail, and no way to trigger one from this screen.
  • No total is displayed: the balances are not added up across all the cash desks.
  • No history of a cash desk's movements can be viewed.
  • The screen has no pagination and is limited to the first 50 cash desks.
  • The sort arrows in the headers are decorative.
