Sales orders

Purpose

This screen presents customer orders seen from the financial side: their amount, their VAT, how far they have progressed and the customer concerned.

It answers the accounting or finance department's questions: which orders are confirmed but not yet invoiced? how much is committed with one customer? which order gave rise to which invoice?

The same document, a different entry point

These are the same orders as those in Sales management → Sales orders. Only the access path differs: this module is open to accounts holding the Financial management right, without requiring the Sales management right.

The full life cycle — entry, firm order, invoicing and dispatch — is described on the page in the sales chapter.

Who can access this module?

The module is visible to accounts holding the Financial management right.

Access

  • Menu: Financial management → Sales orders
  • Address: /commandes-ventes-finances
  • Screen title: Commandes de ventes

The order list

The top bar contains ☰ side menu, 🏠 home, the Filtrer… field, the name of the signed-in account, the language selector and the account menu.

ColumnContent
Référence devisThe internal reference of the order.
Référence commandeThe reference of the customer's purchase order.
DateThe order date.
ClientThe customer.
CommercialThe salesperson in charge.
EtatHow far the order has progressed.
Valeur HTThe total excluding tax.
TVAThe VAT rate, as a percentage.
DocumentColumn always empty in this version.
Action✏️ Editer — the only action available.

The list shows 50 orders per page, with the pagination controls.

The two reference columns carry misleading names

Despite their headings:

  • Référence devis shows the reference of the order itself;
  • Référence commande shows the reference of the purchase order sent by the customer, the one entered in the Réf. BC client field.

Neither of them points to the original quotation. To find the quotation linked to an order, go through Quotations and the Commandes button on the row.

Two lists, two displays

The list in the sales chapter shows only one reference column — the customer's purchase order. This one shows two. The same order may therefore look different from one screen to the other: it is the presentation that changes, not the document.

The states of an order

StateMeaning
En instanceOrder entered, not committed. The stock has not moved.
ConfirméeFirm order: the delivery note and the stock release note are issued, the stock is consumed.
FacturéeThe invoice is issued and the payment schedule created.
ExpédiéeThe goods have gone.
UndéfinieState not recognised.
Spotting the orders to invoice

Orders in the Confirmée state are the ones whose goods have gone out but which have not been invoiced yet. That is the first filter to apply mentally when opening this screen: they are delivered products that have not yet generated a receivable.

Opening an order

Click the green ✏️ Editer icon on the row: the order screen opens, identical to the one in the sales chapter. The return link then reads « Retour à la liste des commandes de vente (finances) », and brings you back here.

From that screen, depending on the state of the order:

  • Commande ferme confirms the order and consumes the stock;
  • Facturer et expédier issues the invoice and creates the payment schedule.
These two actions have real effects

They are not reserved to the sales chapter: from this screen too, they consume stock and create receivables, with no way back. The detail of the checks and the consequences is set out in Sales management → Sales orders, section The life cycle of an order.

Finding an order

The Filtrer… field covers all the orders, not just the page displayed. Enter a customer name or a reference: the list updates half a second after the last keystroke.

Messages and troubleshooting

SituationMessageWhat to do
The Document column is empty—Normal behaviour: this column displays nothing.
The two reference columns look swapped—See the warning above: their headings do not match their content.
An invoiced order generated no receivable—The Instantané term creates no due amount.
An expected order does not appear—Check that it was indeed saved.

Known limitations in this version

  • The Document column is always empty.
  • The Référence devis and Référence commande headings do not match their content.
  • No deletion and no printing are offered from the list.
  • No total is displayed, neither per page nor overall.
  • No filter by state: confirmed orders that have not been invoiced cannot be isolated.
  • Two distinct internal states are both displayed as "Undéfinie", with a spelling mistake.
  • The sort arrows in the headers are decorative.
