Receivables
Purpose
The Receivables screen lists the amounts due from your customers: what you are owed, who owes it, on which invoice and by when.
It is the sales counterpart of Payables, and the basic tool for debt recovery: it tells apart the amounts still to fall due from those that are overdue, and lets you record collections as they come in.
Every row is generated when a sales order is invoiced, from the customer's payment terms. See Sales orders, section Invoice and dispatch.
The module is visible to accounts holding the Financial management right.

The receivables list
The top bar contains ☰ side menu, 🏠 home, the Filtrer… field, the name of the signed-in account, the language selector and the account menu.
| Column | Content |
|---|---|
| Client | The customer owing the amount. |
| Facture | The invoice behind the due amount. |
| Date facture | The date the invoice was issued. |
| Date échéance | The date the payment is expected. |
| Montant | The amount due. |
| Etat | En instance, Echus or Payée. |
| Action | 💵 Encaisser. |
The list shows 50 due amounts per page, with the pagination controls.
The three states
| State | Meaning |
|---|---|
| En instance | Unsettled amount whose date has not yet passed. |
| Echus | Unsettled amount whose date has passed: it is overdue. |
| Payée | The collection has been recorded. |
The application compares the due date with today's date: an unsettled receivable switches automatically to Echus the day after it falls due. There is no process to launch and no box to tick.
This is your follow-up list: go through the screen and spot the Echus badges.
The list offers neither sorting by date nor filtering by state: overdue receivables are mixed in with the rest. On a large volume, the Filtrer… field on the customer name remains the quickest way to target a case.
Collecting a receivable
Click the 💵 Encaisser icon on the row concerned: the Encaissement de paiement client window opens.
The information recalled
The top of the window shows, read-only, the Client, the Facture, the invoice date and the Montant of the due amount.
The collection covers the whole amount due. This window does not allow a partial settlement to be recorded: for a split payment, the schedule has to be divided upstream, at invoicing time.
The information to enter
| Field | Required | Description |
|---|---|---|
| Mode de règlement | ✔ | Chèque, Traite, Virement, En numéraire, Versement espèce, Carte bancaire or Prélèvement bancaire fini. |
| Date de règlement | ✔ | The date the payment is received. |
| Banque | — | The bank the payment is issued from. |
| RIB | — | The account the payment comes from. |
| Référence du document | — | The cheque, bill of exchange or transfer number. |
| Scan du document | — | An image of the supporting document, attached to the collection. |
| Caisse | — | The cash desk receiving the payment, drawn from Cash desks. |
The document reference will let you match the collection against the bank statement. The cash desk ties the movement to the right collection point, which is what makes cash tracking meaningful.
Confirm with Valider, or give up with Annuler. The supporting document is sent if there is one, the collection is recorded and the list reloads: the due amount then appears as Payée.
No message confirms the recording. The only confirmation is visual: the row must move from En instance or Echus to Payée. If it has not changed, the operation failed — start again.
No button lets you go back on a confirmed collection. Check the means of payment, the date and the cash desk before confirming; a mistake will have to be corrected by support.
Tracking recovery for one customer
For a given customer, two views complete this screen:
- Customer status, from the Customers list: the profile, the outstanding amount and the balances;
- Customer projects, which presents a payment schedule and an amount still to be collected per project.
The customer record carries a credit limit, but it is not checked when orders are entered. Before accepting a new order, compare the customer's current receivables against their limit yourself.
Messages and troubleshooting
| Situation | Message | What to do |
|---|---|---|
| Collection recorded | No message | Check that the row has moved to Payée. |
| The row has not changed state | No message | The recording failed: carry out the operation again. |
| The Valider button stays greyed out | — | The means of payment or the settlement date is not filled in. |
| The cash desk you want is not offered | — | Create it in Cash desks. |
| An expected receivable does not appear | — | The order may have been invoiced with the Instantané term, which generates no due amount. |
| A collection recorded by mistake | — | No cancellation is possible from the interface; contact support. |
| The session has expired | Automatic return to the sign-in screen | Sign in again and carry on. |
Known limitations in this version
- No message confirms or denies that a collection has been recorded.
- A confirmed collection cannot be cancelled from the interface.
- Partial collections are not handled: the amount is fixed.
- The list offers no sorting, and no filter by state or by due date — overdue items cannot be isolated.
- No follow-up is offered: no letter, no email, and no indicator of how many days late.
- The sort arrows in the headers are decorative.
