Payables

Purpose

The Payables screen lists the amounts due to your suppliers: what you owe, to whom, on which invoice and by when.

It is the purchasing counterpart of Receivables: those record what your customers owe you, payables what you owe. The screen serves two purposes — seeing the due dates coming up and recording settlements as they go out.

Payables are not created by hand

Every row comes from a purchase invoice and from the payment terms agreed with the supplier. No form allows a payable to be added from this screen: all you do here is settle it.

Who can access this module?

The module is visible to accounts holding the Financial management right.

Access

  • Menu: Financial management → Payables
  • Address: /dettes
  • Screen title: Dettes

The payables list

The top bar contains ☰ side menu, 🏠 home, the Filtrer… field, the name of the signed-in account, the language selector and the account menu.

ColumnContent
FournisseurThe supplier owed.
Référence factureThe purchase invoice behind the due amount.
Date BLThe date of the source document.
Date échéanceThe date the settlement falls due.
MontantThe amount due.
EtatEn instance or Payée.
Action💵 Régler.

The list shows 50 due amounts per page, with the pagination controls.

The two states

StateMeaning
En instanceThe amount has not been settled.
PayéeThe settlement has been recorded.
Spotting upcoming due dates

The list offers neither sorting by date nor filtering on state. To prepare a settlement, use the Filtrer… field on the supplier name, then read the Date échéance column.

Settling a payable

Click the 💵 Régler icon on the row concerned: the Règlement de paiement fournisseur window opens.

The information recalled

The top of the window shows, read-only, the details of the due amount: the party, the Facture, the invoice date and the Montant.

The amount cannot be changed

The settlement covers the whole amount due. This window does not allow a partial settlement to be recorded: for a staged payment, the schedule has to be split upstream, at invoicing time.

The information to enter

FieldRequiredDescription
Mode de règlement✔Chèque, Traite, Virement, En numéraire, Versement espèce, Carte bancaire or Prélèvement bancaire fini.
Date de règlement✔The date the payment is made.
Banque—The issuing bank.
RIB—The account debited.
Référence du document—The cheque, bill of exchange or transfer number.
Scan du document—An image of the supporting document, attached to the settlement.
Caisse—The cash desk bearing the payment, drawn from Cash desks.
Fill in the document reference

It is not required, but it is what will let you match the settlement against your bank statement. For a cheque or a bill of exchange, enter the number.

The three buttons

ButtonEffect
ValiderRecords the settlement and moves the due amount to Payée.
Imprimer paiementProduces the means of payment. Active only for a cheque or a bill of exchange.
AnnulerCloses the window without recording anything.
Why is "Imprimer paiement" greyed out?

The button only becomes active if the Mode de règlement is Chèque or Traite — the only means of payment the application can print. For a transfer or a cash payment, it stays inactive: that is normal.

Once Valider has been clicked, the supporting document is sent if there is one, the settlement is recorded and the list reloads: the due amount then appears as Payée.

Check that the state has really changed

No message confirms that the settlement has been recorded. The only confirmation is visual: the row must move from En instance to Payée after the reload. If it stays En instance, the operation failed — start again.

A recorded settlement cannot be cancelled

No button lets you go back on a confirmed settlement, or return a due amount to En instance. Check the means of payment, the date and the cash desk before confirming; a mistake will have to be corrected by support.

Known limitations in this version

  • No message confirms or denies that a settlement has been recorded.
  • A confirmed settlement cannot be cancelled from the interface.
  • Partial settlements are not handled: the amount is fixed.
  • The list offers no sorting, and no filter by state or by due date.
  • The sort arrows in the headers are decorative.
  • The label of the first field in the settlement window reads "Client" when it is in fact the supplier.
