Maintenance

Purpose

The Maintenance module tracks the technical work on the rooms: reporting a fault, assigning a technician, planning the work, starting it and then closing it.

It also governs the blocking of rooms: a room under maintenance switches to the matching state on the dashboard and can no longer be booked.

Who can access this module?

The module is visible to accounts holding the Hotel management right.

Access

  • Menu: Hotel management → Maintenance
  • Address: /maintenances-hotel
  • Screen title: Maintenance des chambres

The Retour au tableau de bord link takes you back to Main Hotel.

The four indicators

IndicatorContent
URGENTESUrgent-priority work orders still open.
EN COURSWork orders that have been started.
PLANIFIÉESWork orders assigned but not started yet.
CHAMBRES BLOQUÉESThe number of rooms held out of service by a work order.
Reading the indicator strip in the morning

URGENTES and CHAMBRES BLOQUÉES are the two figures that weigh on availability: a blocked room is a room that does not sell.

The life cycle of a work order

Signalée ──► Planifiée ──► En cours ──► Résolue
(assign) (start) (resolve)
StatusMeaningAction available
SignaléeThe fault is reported, no technician assigned.Assigner
PlanifiéeA technician is assigned, the work has not started.Démarrer
En coursThe technician is working on the room.Résoudre
RésolueThe work is finished.—
AnnuléeThe work was abandoned.—
The buttons depend on the status

Each card only shows the action possible at its stage: Assigner on a reported work order, Démarrer on a planned one, Résoudre on one in progress. A resolved or cancelled work order shows no action at all, and can no longer be edited.

Reporting a fault

Click Signaler une panne: the Nouvel ordre de maintenance window opens.

FieldRequiredDescription
Hôtel✔The establishment concerned.
Chambre✔The faulty room.
Description du problème✔The fault observed.
Priorité✔Urgente, Normale or Basse.
Technicien assigné—The user in charge of the work.
Début prévu—The planned start date.
Fin prévue—The planned end date.
Bloquer la chambre pendant l'intervention—Tick box.

Confirm with Créer l'ordre, or give up with Annuler.

Describe the fault precisely

The description is what the technician will read. "Climatisation ne refroidit plus, bruit anormal au démarrage" is worth more than "clim HS": it saves a round trip for diagnosis.

Blocking the room

The Bloquer la chambre pendant l'intervention box is the heaviest decision in the window. The application says so:

La chambre passera en statut « Maintenance » et ne pourra pas être réservée.

Blocking is detected as a conflict with bookings

If bookings exist on the room over the planned period, a red box lists the stays concerned with the note « pensez à les réaffecter avant de bloquer la chambre ».

The application does not prevent the block: it warns you. It is up to you to move the guests before confirming, otherwise they will turn up to an unavailable room.

Date check

If the planned end is earlier than the planned start, the message « La date de fin doit être postérieure ou égale à la date de début. » appears and prevents the save.

Finding a work order

Four filters combine above the list:

FilterValues
StatutOuverts (default), Tous, Signalées, Planifiées, En cours, Résolues, Annulées.
PrioritéToutes, Urgente, Normale, Basse.
TechnicienSearch by name, with the Tous and Non assignés choices.
Free searchBy room, fault or order number.
The "Non assignés" filter

This is the technical manager's queue: the faults reported that nobody has taken on yet.

The Statut filter starts on "Ouverts"

By default, the list hides resolved and cancelled work orders. Switch to Tous or to Résolues to look at the history.

Reading a work order card

Each work order appears as a card, with:

  • the room and the description of the fault;
  • the date it was reported and who reported it;
  • the technician assigned, or the note Non assignée;
  • the planned dates — Du … au …, or Dès le … if no end is set;
  • the blocking state: Chambre bloquée, Blocage levé or Chambre louable;
  • the actual cost, once filled in.
"Blocage levé"

This note appears on a closed work order that had blocked the room: the block ended with the resolution. The room can be let again.

Editing a work order

The ✏️ Modifier button on a card reopens the window. It is only available on an open work order — neither resolved nor cancelled.

Known limitations in this version

  • The cost of the work is displayed in euros (€) while the rest of the application is in dirhams.
  • No cancellation is offered from the cards, even though the Annulée status exists and can be filtered on.
  • No attachment — a photo of the fault, a quotation, an invoice — can be linked to a work order.
  • No history per room: you have to use the free search to find the repeated faults of one room.
  • Blocking a room does not prevent conflicting bookings: it merely warns.
