Employees

Purpose

The Employees module holds the personnel file. Each record brings together the person's identity, their civil status, their contact details, their contract, their working calendar and their payroll data.

One record for two modules

An employee and a user are the same record, seen from two angles. Users manages the access account — login, password, rights profile; Employees manages the HR file of the same person.

The Fonction and Centre columns shown in the user list are entered here. Creating an employee therefore also creates a sign-in account.

Who can access this module?

The module is visible to accounts holding the Payroll management right, and to every account flagged as an administrator.

Access

  • Menu: Payroll management → Employees
  • Address: /salaries
  • Screen title: Salariés

The employee list

The top bar contains ☰ side menu, 🏠 home, the Filtrer… field, the name of the signed-in account, the language selector and the account menu.

ColumnContent
LoginThe sign-in identifier.
EtatA switch showing whether the account is active.
NomThe surname.
PrénomThe first name.
FonctionThe job held.
CentreThe site the person belongs to.
ActionFive buttons, detailed below.

The list shows 50 employees per page, with the pagination controls.

Fonction and Centre columns are swapped

As in the user list, the value shown under Fonction is in fact the site, and the one shown under Centre is the job. Bear that in mind when reading.

The five action buttons

ButtonOpens
✏️ EditerThe employee's full record.
☂️ CongésThe employee's full record.
🩹 AbsencesThe employee's full record.
💵 PaieThe employee's full record.
🗑️ SupprimerThe deletion confirmation request.
Four buttons, one destination

Congés, Absences and Paie open exactly the same screen as Editer: the employee record. The screens dedicated to tracking leave, absences and payslips do not exist yet. The nearest equivalents are on the record: the Congé initiale field and the Paie section.

Creating an employee

Click the ➕ button at the top left of the table: the Ajouter nouveau salarié window opens. It consists of a header and six collapsible sections.

The header

FieldDescription
MatriculeThe employee's internal staff number.
PrénomTheir first name.
NomTheir surname.
IdentifiantThe sign-in login. The only required field.
The Enregistrer button stays greyed out?

Only the Identifiant is checked. Everything else — including the surname and first name — can be left empty, which produces records that are hard to use. Get into the habit of filling in at least the staff number, surname, first name and job.

Working calendar

A calendar allows the employee's working days to be marked, with a progress indicator. It is the basis for counting days worked.

Identification

FieldDescription
CINThe national identity card number.
Mot de passeThe password of the sign-in account.
ProfileThe rights profile, drawn from Profiles.
The password behaves as on the user record

When editing, the field shows a placeholder value unrelated to the real password. Leave it as it is to keep the password; replace it to change it.

Civil status

Date de naissance, État civil — Célibataire, Marié(e), Veuf/Veuve, Divorcé(e) —, Sexe and Nombre d'enfants en charge.

This information feeds the payroll calculation

Family situation and the number of dependent children determine the deductions. Keep them up to date as circumstances change.

Contact details

Téléphone, GSM, Email, and the full address: Numéro, Rue, CP, Ville, Pays.

Assignment and contract

FieldDescription
FonctionThe position held.
CentreThe site the person belongs to, drawn from Sites.
Congé initialeThe leave balance when the file is opened.
CNSSThe social security membership number.
CIMRThe CIMR retirement scheme membership number.
AssuranceThe reference of the insurance policy.
Type de contratThe type of contract, chosen from a configured list.
Date d'embaucheThe date of entry into the company.
Date d'anciennetéThe reference date for calculating seniority.
BanqueThe employee's bank.
RIBTheir bank account details.
Salarié actifStates whether the employee is in post.
Date de sortieThe end-of-contract date, where applicable.
MotifThe reason for leaving.
Hiring date and seniority date

They differ when seniority is carried over from a previous contract or from another entity of the group. Fill in both: it is the seniority date that is used to calculate entitlements.

Payroll

FieldDescription
Salaire de base annuelThe gross annual salary.
Pour nombre de moisThe number of monthly instalments it is spread over.
Salaire horaireThe hourly rate, for hourly pay.
Profile de paieThe payslip template applied.
Mode de paiementEspece, Virement or Chéque.
No check on amounts

Salaries and rates accept free text: neither format nor consistency is checked. A transfer also assumes that the Banque and the RIB in the contract section are filled in — nothing checks that either.

Editing an employee

On the row concerned, click ✏️ Editer — or ☂️, 🩹, 💵, which lead to the same screen. The Modifier un salarié window opens with the saved values.

Adjust, then click Enregistrer.

The success message is not proof

The message « Salarié modifié avec succès » is displayed systematically, as soon as you click and before any response from the server. It therefore appears even if the save failed.

The habit to adopt: after saving, reopen the record and check that your changes are really there.

Activating or deactivating an employee

The switch in the Etat column activates or deactivates the employee's sign-in account. The toggle is saved immediately, with no confirmation.

When a colleague leaves

Two distinct pieces of information, to be filled in together: untick Salarié actif on the record and fill in the Date de sortie and the Motif — that is the HR side; then turn off the Etat switch on the list — that is access to the application. One does not trigger the other.

Deleting an employee

  1. On the row concerned, click the red 🗑️ Supprimer icon.
  2. The confirmation request « Êtes-vous sûr de vouloir supprimer ce salarié ? » appears.
  3. Choose Annuler to give up, or Supprimer to confirm.
Deletion also removes the sign-in account

Since employee and user are the same record, deleting the employee deletes the account. For someone leaving, prefer deactivation: the file stays viewable and the payroll history is preserved.

Known limitations in this version

  • The Congés, Absences and Paie buttons open the employee record: the corresponding screens do not exist.
  • The success message is displayed before the server responds: it guarantees nothing.
  • The duplicate message reads « Utilisateur en double » instead of « Salarié en double ».
  • The Fonction and Centre columns of the list show their values swapped.
  • Only the Identifiant is required: a record can be saved with neither surname nor first name.
  • No format check on the CIN, the CNSS, the CIMR, the RIB, the salaries or the dates.
  • The sort arrows in the headers are decorative.
