Articles
Purpose
This screen presents the catalogue from the angle of quantities: what you hold, what is already committed on orders, and what is genuinely left available.
It is also the entry point for stock count entry: the physical count of an article at a given site, and the adjustment of the discrepancy found.
This is the same article list as Sales management → Articles. Only the access path differs: this module is open to accounts holding the Stock management right, without requiring the Sales management right.
The complete article record — classification, sales, rental and purchase prices, multilingual designations — is described on the page in the sales chapter. This page concentrates on what concerns stock.
The module is visible to accounts holding the Stock management right. Editing the records additionally depends on the Articles → Edition sub-right, set in Profiles.

Reading the quantities
Two columns of the list concern stock:
| Column | Content |
|---|---|
| Stock | The quantity physically held, across all sites. |
| Reserve | The quantity already committed on sales orders in progress. |
It is the difference between the two: Stock − Reserve. The application does not
display it; it is up to you to work it out before promising a delivery.
An article showing 40 in stock and 35 reserved has only 5 units free.
The Stock column adds up the quantities of every warehouse. An article may therefore show 100 in stock while the warehouse you need is empty. To find out the quantity per site, open the stock count window and select the site: the Quantité actuelle appears there.
The "Géré en stock" box
On the article record, Paramètres section, the Géré en stock box determines whether the article is tracked by quantity.
- Ticked: entries and releases update the stock, and the article appears in movements and transfers.
- Unticked: the article is not tracked — the typical case of a service or of a consumable that is not valued.
Nothing prevents tracking from being removed on an article that already carries quantities. Past movements stay recorded, but the article stops being updated: the stock displayed freezes. Check that the quantity is zero before unticking.
Entering a stock count
The blue 📄 Inventaire icon on a row opens the Saisie inventaire window.
| Field | State | Content |
|---|---|---|
| Référence article | Read-only | The article reference. |
| Désignation | Read-only | Its name. |
| Site | To be chosen | The site the count applies to. |
| Quantité actuelle | Read-only | The quantity known to the application for that site. |
| Quantité recensée | To be entered | The quantity actually counted. |
How it goes
- Choose the Site. The Quantité actuelle then loads for that site, and the Quantité recensée is pre-filled with the same value.
- Replace the Quantité recensée with the result of your count.
- Click Enregistrer, or Fermer to give up.
The site's quantity is aligned with the counted value, and the discrepancy makes up the adjustment.
As long as no site is selected, the Quantité actuelle has no meaning: it only loads once the site is chosen. Entering a counted quantity before choosing the site risks adjusting the wrong warehouse.
This is a classic trap: confirming without changing anything records a stock count "with no discrepancy", which is not neutral — it amounts to confirming the theoretical stock. Always replace the value with your actual count.
Entry covers a single site. For an article present in several warehouses, repeat the operation, changing site each time.
The only confirmation is that the Quantité actuelle reloads with the new value. If it has not changed, the save failed: start again.
Finding an article
The Filtrer… field in the top bar covers the whole catalogue, not just the page displayed. The list is sorted by designation and shows 50 articles per page.
Messages and troubleshooting
| Situation | Message | What to do |
|---|---|---|
| The Quantité actuelle stays at zero | — | The site chosen does not hold this article, or no site has been selected. |
| The quantity does not change after saving | No message | The stock count did not go through: enter it again. |
| The stock displayed does not match the warehouse | — | The Stock column totals every site: check site by site in the stock count window. |
| An article does not appear in the movements | — | Its Géré en stock box is probably unticked. |
| The stock is negative | — | The Autoriser stock négatif setting is on: see Application configuration. |
| The session has expired | Automatic return to the sign-in screen | Sign in again and carry on. |
Known limitations in this version
- The available quantity (stock less reserved) is not displayed.
- The stock per site does not appear in the list: you have to open the stock count window, site by site.
- The counted quantity is pre-filled with the theoretical quantity.
- No message confirms that a stock count has been saved.
- No stock count history can be viewed: no date, no author, and no discrepancy kept.
- No mass stock count is possible: entry is done article by article and site by site.
- No threshold alert and no minimum stock exists.
