Two-step transfer

Purpose

The two-step transfer moves goods between two warehouses with transport time in between: you dispatch at one end, the goods stay in transit, then you confirm receipt on arrival.

It is the method to use whenever departure and arrival are not simultaneous: a delivery between two towns, a lorry on the road, a delay of several hours or several days.

When is the simple transfer preferable?

If the goods change location with no delay — reorganising a store, helping out between two warehouses of the same site — the Simple transfer is more direct: a single, immediate operation.

Who can access this module?

The module is visible to accounts holding the Stock management right.

Access

  • Menu: Stock management → Two-step transfer
  • Address: /transfert-deux-etapes
  • Screen title: Transfert en deux étapes

The two tabs

The screen is organised around two tabs:

TabRole
Nouveau transfertPrepare and dispatch a transfer, in four steps.
En transitTrack the transfers that have left and confirm their receipt.

Dispatching — the "Nouveau transfert" tab

A four-step wizard, with a permanent progress indicator.

Step 1 — Warehouses & Articles

The warehouses

BlockFields
Entrepôt sourceSite, then Entrepôt — the warehouse list depends on the site chosen.
Entrepôt destinationSite, then Entrepôt.

The articles to transfer

The search field lets you add articles by code or by designation.

Choose the source warehouse first

As long as no source warehouse is selected, the field displays « Choisir d'abord un entrepôt source… »: the article search needs to know where to draw the stock from.

Each row added shows the Code, the Désignation, the Stock dispo. in the source warehouse and the Quantité to transfer, which you enter.

When no article has been added, the area displays « Aucun article ajouté. Utilisez la recherche ci-dessus. »

Several articles in one transfer

This is the major difference from the simple transfer: a two-step transfer can cover as many lines as needed, which matches a full load.

The summary

A side panel keeps a running summary: source warehouse, destination warehouse, number of lines and estimated weight.

The Étape suivante — Transport button only becomes active once both warehouses are chosen, at least one line exists and no quantity is invalid.

Step 2 — Transport

BlockFieldsRequired
TransporteurTransport company, Mode de transport — Routier, Maritime or Aérien.✔
Véhicule & ChauffeurRegistration / vehicle reference, driver's name.—
Dates de transportDeparture date, estimated arrival date.—

The Confirmer button only becomes active once the carrier and the mode of transport are filled in.

Fill in the estimated arrival date

It is not required, but it is what allows the En transit tab to flag transfers as En retard. Without it, no delay will be detected.

Carriers come from the suppliers

The Société de transport list is fed by the records in Suppliers. If your carrier is not there, create its record first.

Step 3 — Confirmation

The screen presents the complete summary: the movement (source and destination), the list of articles with the remaining stock and the quantity transferred, and the transport — carrier, mode, vehicle, driver, dates.

An optional Instructions de transport box lets you add handling precautions, temperature instructions or any other particular directions.

A warning states:

Le stock sera mouvementé dès validation.

Valider le transfertCarries out the dispatch.
Confirming takes the stock out of the source warehouse

As soon as you confirm, the goods leave the source warehouse and go into transit. They will only enter the destination warehouse when receipt is confirmed.

In between, the quantities are in neither warehouse: that is the whole principle of transit, but you need to know it before being surprised by stock that has "disappeared".

Step 4 — Success

The screen confirms « Transfert enregistré » and « Le bon de transfert a été créé et le stock mis à jour. », with the complete summary — source, destination, lines, weight, carrier and dates.

Receiving — the "En transit" tab

The list of transfers in transit

The tab presents one card per transfer that has left and not yet been received. Each one states:

InformationContent
Expédié leThe departure date.
Arrivée estiméeThe expected arrival date.
Transporteur and ModeThe means of transport.
Véhicule and ChauffeurIf they were filled in.
ArticlesThe detail of the lines: code, designation, quantity, unit.

An En retard badge flags the transfers whose estimated arrival date has passed.

The search field filters by reference, warehouse or carrier. The refresh button reloads the list.

When there is nothing to receive, the screen displays « Aucun transfert en attente de réception. »

Confirming a receipt

On the card of the transfer concerned, click Valider la réception.

The quantities then enter the destination warehouse and the transfer disappears from the list of transits.

Check the goods before confirming

Confirmation records the receipt of all the lines, at the quantities dispatched. The screen allows neither a different quantity received to be entered, nor breakage or a shortfall to be reported.

If there is a discrepancy, confirm the receipt then adjust it through a stock count entry on the destination warehouse — see Articles.

No cancellation of a receipt

A confirmed receipt cannot be cancelled from the application. Correction goes through a transfer in the opposite direction or a stock count adjustment.

Known limitations in this version

  • Receipt is confirmed as a block: no quantity received different from the quantity dispatched can be entered, and no shortfall reported.
  • No partial receipt: the transfer is received in full or not at all.
  • No cancellation of a dispatch or of a receipt.
  • The modes of transport are limited to three fixed values — Routier, Maritime, Aérien — which cannot be configured.
  • No printable transfer note is offered, despite the mention of a note created on confirmation.
  • No history of the transfers received: they disappear from the screen once confirmed and can only be found again in Stock movements.
